Vico Doc Set Manager FAQs
Vico Doc Set Manager is an innovative solution for collating and comparing thousands of construction drawing sets. We refer to Doc Set Manager as our 2D BIM solution because a successful 3D BIM model starts with identifying changes in the 2D drawing set.
Each project team should use Doc Set Manager to store their drawing sets and quickly identify any missing pages or pages on which there have been changes. Then using the mark-up tools, users can quickly cloud and comment on the changes, and assign additional investigation and follow-up to team members.

Where does Doc Set Manager store the DWGs?
Doc Set Manager is a collaborative tool that supports local area networks. This means you can locate the DWG or PDF file anywhere in the network. You just need to make sure that all project members have access to the network.
Is Doc Set Manager an upgrade for all Change Manager Subscribers?
Yes it is. So anyone who is a Change Manager user will get the new and improved product, Doc Set Manager, as soon as it is released (as long as their maintenance subscription is in good standing).
Does Doc Set Manager automatically highlight the changes?
Yes, it will highlight the changes; it will highlight any line work that has been manipulated or touched in any way. But, it is up to you to decide "will this highlighted change impact the project?" And only you and your team can decide that.
How long does it take to run a comparison between the drawings? Of course it depends on the size of the files but what is an average time?
We should split this question into two. One is comparing sets. Looking at the full set and see what the differences are between the docs in the set. This can take between a few seconds to a few minutes based on the number of docs in the set. And the comparison itself again depends on the size of the doc and the answer is the same, it depends on how heavy the calculations are for this specific pair.
Is it possible to compare Raster PDF?
No, the only comparison we support is vector-based PDF or DWG files.
How does the drawing compare with sheets vs. xref's?
Comparing DWG with xref is possible. Doc Set Manager will compare anything you provide. So if you provide DWG with xref it will present the full DWG file and compare it to the other DWG file . If you would like only to compare the xref just load them to the folder and they will be listed in the Document Register and you can compare them separately.
Do clouds need to be entered in separately each time on future versions?
If you draw a cloud and it is still an active issue, it will always be presented and automatically be copied to future versions.
Is it possible to disable XREFs from loading?
No, it is not possible.
Can permissions be set for team members, for example, to read only, or can anyone who opens the program delete work?
That is something we have our request list. It's not supported yet but will probably supported in future updates.
Do I need to buy Vico Office Client with Doc Set Manager?
Yes, you do. Vico Office Client enables the collaborative workflow, assignments, resolution, and reporting in Doc Set Manager. As noted earlier, you might like to get 2-3 extra licenses to share with your owner, architect, and subcontractors.
Can you batch plot from your app the most current set and can you plot the markups?
What you can batch plot is the report with all the clouds. Every change that you have that has been clouded. And you can get an automatic printing of all these issues presented in your document.
Would MEP designs be to complex to check in this environment?
No, definitely not.
Often consultants will send updated XREF drawings with the names slightly modified. Sounds like the compare feature would pick up on this as a new drawing. Can we reassign or repath the comparison to the newly named drawing?
Yes, what you can do here is either manually assign the new drawing or the new file to the same document. Or change the document name that you would like to be automatically assigned to those files.
When will this be released and what will be the licensing options and cost?
We will release this soon and the individual license, what we call a single user license, will be in USD $1,895. It is also available with a floating license for your network which is USD $2,295.
Does DWG comparison work in paper space?
Yes, how you might use that is to look for date changes, name changes, revisions triangle markers, etc. If you want to check for keynotes or move keynotes, Doc Set Manager will pick up on those in paper space, as well.
Can we do the comparison in 3D view, as well?
Sometimes highlighting doesn't work so well. For example an unchanged line sometimes is color coded as changed. How does that work in the system?
That's where the Document Register is most helpful in that the Register will tell you that the drawing has or has not changed from the last set to the newer set. If the Register has indicated red and that the drawing has changed you can work with the color scheme to find any problem but it should not be that difficult with the flexibility of all the tools in the color palette.
Is this working with Revit?
The answer is yes and what you would do is export the view or drawing that you wanted as a PDF and you would be all set to compare.
Can subcontractors view and print drawings onsite in real time or can they only be shared through email?
If I understand the question correctly there are three things I should mention here. One is that the license agreement has been modified to make it legal for the subcontractor to use a license of Vico Doc Set Manager on my network.
Similarly I can assign him a license and he can use it at his office to work remotely and see differences. So you can look in real time.
Frequently the use case is that when something's trying to be installed on a site and there's a question or a problem you really want to be able to look at the last 4 or 5 drawing sets and the last few bulletins and see where the last change was and see if that's different from the document you bid against or the document that you are working with. So it is very handy for subs, in particular.
Can I batch plot the actual DWG's including the mark ups?
Yes, if you have a set of files with mark ups on them you can print them all together as one report with all the clouds and the ability to zoom in the clouds to get more detail.
If I'm working in Revit, how can I make a PDF so it will be useful for this software?
You can use the export to PDF function or if you have a PDF virtual printer you can use this to create the PDF files.
Can two or more persons work on one comparison file together?
Yes, absolutely. The product is designed for a collaborative environment meaning multiple users can access the same project: view the same file, compare the same file, create clouds, etc. All this can be done simultaneously.
The license fee is renewable yearly or a one time fee?
It's a one time fee and then there is an annual maintenance fee which is 18% of the price.
Can the cloud names and tags be seen on the sheet view?
Currently the clouds are not tagged, but if you click on the list of items under My Assignments each click will highlight a specific cloud which is related to the issue.
Does a floating license cover satellite offices or does each location need to purchase its own license for staff members.
No, as long as the network extends to all offices it will run over the network and you can use it for multiple offices.
